Freelance editor playbook

How to get paid on time without sounding like a debt collector.

Most late-payment problems start before the invoice. Use this simple workflow to set payment expectations early, make follow-ups feel normal, and protect your delivery schedule.

01

Put payment terms in the creative kickoff, not just the invoice.

Editors often bury payment language at the bottom of a PDF quote. Move the important bits into the kickoff email so clients see the relationship between payment, schedule, revisions, and delivery before work starts.

“I’ll hold the edit window once the 50% deposit is paid. Final exports are released after the remaining balance clears. Two revision rounds are included; extra rounds are billed separately.”

02

Send reminders before the deadline, not after the awkward silence.

The cleanest reminder is operational: “delivery is coming, so payment should be ready too.” That is why the best cadence starts a few days before final delivery instead of a week after the invoice is already late.

At booking

Thanks — I’m excited to cut this. Once the deposit is paid, I’ll lock the schedule and send the project kickoff note.

3 days before delivery

Quick heads-up: final delivery is scheduled for Friday. I’ll send the balance invoice today so release can stay smooth.

On delivery day

The final export is ready. Once the remaining balance clears, I’ll send the download link and archived project notes.

7 days overdue

Following up on the outstanding balance for [project]. Can you confirm payment timing today so I can close the project on my end?

03

Track every client thread in one place.

Late invoices usually hide inside scattered Gmail threads: a date changed, a revision expanded, or a producer confirmed delivery in a side conversation. A lightweight CRM helps you catch those details before they become unpaid admin work.
